Our Client Onboarding Process
So, you have been thinking about working with Aeternus. You must have found some things helpful or interesting, so you are probably wondering how we can begin to collaborate on your next strategy. Well, here is what you can expect to encounter in the first few weeks.
And by the way, what you see during our onboarding process is what you can expect throughout working with Aeternus.
Introductory Meetings
Before we sign a contract, we first need to understand the project’s scope, your industry, and the goals you’re looking to achieve. Once we are confident we can produce the results you’re expecting, we can discuss what we can do and move on to signing the contract. During this process, we will need your active participation and timely feedback to ensure a successful onboarding.
Signing the Contract
So, you have made the decision to work with us. By now, we must have already had a short introduction and met a couple of times to discuss your requirements and how Aeternus can address them. We might have also offered some of our thoughts on your situation in the meantime and how we might tackle it with you.
Introducing the Teams
But now, it’s time to introduce the teams. At Aeternus, we have a dedicated team of experts who are passionate about bringing your ideas into reality. We look forward to introducing you to the people on both sides who will work together to achieve our shared goals. We will also assign you an account manager.
So, we usually set up an online meeting to discuss our approach and our systems. During this meeting, we’d like to cover people’s backgrounds, expertise, and what makes them tick.
This meeting usually lasts 30 minutes, depending on the team size. Ideally, the decision-makers also attend this meeting so we can get to know each other and ask each other questions.
Our Standards
Now that we are getting to know each other, it’s time to discuss our standards and how they translate to what we do. We usually cover the standards and what we plan to do regarding the strategy we proposed during this first meeting. Since the team will consist of specialists, everyone can add to the conversation on how we plan to tackle the problem or the opportunity.
We follow Agile methodology in almost all of our projects. This means we prioritize flexibility, collaboration, and continuous improvement. It allows us to adapt quickly to changing circumstances surrounding our work, ensuring that we always deliver the best possible results.
We approach problem-solving proactively instead of retroactively.
The Kick-Off
After proper introductions between the teams and a discussion of our standards, we proceed to discuss roles, goals, and your needs as our customers. We take a comprehensive approach to defining goals and KPIs, ensuring that our first few months together are effective and aligned with your expectations.
We discuss what we know so far about the customer and the industry, their exact positioning within the industry, who the big players are, and all the details you think are vital for us to understand.
Afterward, we will discuss which tools we will be using in our campaigns. These may include [specific tools], which we have found to be highly effective in our previous projects. We can also discuss what you have tried in the past and what results you have gotten.
We also discuss a timeline and your budget for the campaigns you want us to work on.
After we conclude the kick-off meeting, we start working on the strategy we defined. Once we finish a part of our work, we will schedule the next meeting for you to approve it.
After the Onboarding
Once the onboarding process has been completed and you are comfortable working with us, we proceed with our joint work. You can expect regular daily and weekly updates on our progress, including standup meetings, email updates, and timely delivery in the format that best suits you.
